CleanBee Supplier App Privacy Policy

Oven Clean Eireann, Ltd. and its affiliates, parents and subsidiaries (“CleanBee”, “CleanBee.ie”, “we”, “us” or “Company”) take your privacy seriously.

This Privacy Policy explains how we collect, use, store, share and protect personal information when service professionals, cleaners and other suppliers use the CleanBee Supplier mobile application (“Supplier App” or “App”).

The Supplier App is intended for service professionals who provide services through CleanBee. It allows suppliers to manage bookings, services, schedules, payments and other information related to their work with CleanBee.

This Privacy Policy applies specifically to the Supplier App and should be read together with any applicable CleanBee terms and agreements.

1. Information We Collect

1.1 Account and contact information

When you use the Supplier App, we may process information associated with your CleanBee supplier account, including:

• name and surname;
• email address;
• telephone number;
• mailing or residential address, where required;
• username and other account identifiers;
• login and authentication information;
• profile information;
• photograph, where provided;
• information relating to your eligibility to provide services through CleanBee.

We may also process information that you have previously provided to CleanBee when registering or applying to become a service professional.

1.2 Professional and service information

We process information necessary to manage the services you provide through CleanBee, including:

• services you have selected or agreed to provide;
• service categories;
• service duration;
• availability;
• working schedule;
• working days;
• days off;
• changes you make to your availability or services;
• other information relating to how and when you provide services.

1.3 Booking information

The Supplier App allows you to receive, view, create, edit and cancel bookings.

We therefore process information concerning:

• bookings assigned or available to you;
• booking dates and times;
• booking status;
• services included in a booking;
• booking duration;
• booking changes and cancellations;
• customer instructions and booking notes;
• addresses where services are to be provided;
• other information reasonably necessary to perform the booking.

Some booking information contains personal information relating to CleanBee customers.

You may only use customer information available through the Supplier App for the purpose of providing and managing services through CleanBee. Customer information must not be used for unrelated purposes or disclosed to unauthorised third parties.

1.4 Customer contact information

Where necessary to perform a booking, the Supplier App may provide you with customer information such as:

• customer name;
• service address;
• telephone number;
• relevant booking instructions;
• other information necessary to provide the requested service.

Access to such information is provided only for legitimate service-related purposes.

1.5 Payments and invoices

The Supplier App may allow you to access financial information relating to services provided through CleanBee, including:

• payments relating to completed services;
• amounts payable or paid;
• payment status;
• invoice information;
• invoice numbers and dates;
• booking-related financial information;
• other payment or accounting information associated with your supplier account.

Where third-party payment providers are used, those providers may process payment information in accordance with their own privacy policies.

1.6 Performance and motivational system information

CleanBee operates a motivational or performance standings system for suppliers.

To provide this functionality, we may process information relating to your activity and performance, which may include:

• your position in motivational standings;
• performance indicators used to calculate your standing;
• completed bookings or services;
• other work-related statistics relevant to the motivational system.

The Supplier App may also allow suppliers to see standings relating to other participating suppliers.

Information displayed in such standings will be limited to information considered necessary for operation of the motivational system.

1.7 Technical and device information

When you access or use the Supplier App, we may automatically collect certain technical information, such as:

• Internet Protocol (IP) address;
• device type;
• operating system;
• App version;
• device or application identifiers;
• date and time of access;
• activity and interactions within the App;
• technical logs;
• error and diagnostic information.

We use this information to operate, maintain, secure and improve the Supplier App and to diagnose technical problems.

Where push notifications or similar functionality is enabled, we may also process technical identifiers necessary to deliver those notifications.

2. How We Use Your Information

We may use information collected through or in connection with the Supplier App to:

• create and administer your Supplier account;
• authenticate you and provide secure access to the App;
• assign and display bookings;
• allow you to create, accept, edit or cancel bookings;
• allow you to manage services that you provide;
• manage service duration;
• manage your availability, schedule and days off;
• provide customer information necessary to perform bookings;
• communicate changes relating to bookings;
• calculate and display payments;
• provide and administer invoices;
• operate CleanBee’s supplier motivational system;
• calculate and display motivational standings;
• communicate with you regarding your account, bookings or services;
• provide customer and technical support;
• investigate service complaints;
• prevent fraud, misuse and unauthorised access;
• maintain the security of CleanBee systems;
• diagnose technical problems;
• analyse and improve the Supplier App;
• maintain appropriate business and accounting records;
• comply with legal and regulatory obligations;
• enforce applicable CleanBee terms and policies; and
• protect the rights, property and safety of CleanBee, its customers, suppliers and other persons.

3. Legal Bases for Processing

Where the General Data Protection Regulation (“GDPR”) applies, we process personal information on one or more of the following legal bases:

Performance of a contract

We process information where it is necessary to administer your relationship with CleanBee and enable you to provide services through the Supplier App.

This includes processing relating to bookings, availability, services, schedules, payments and invoices.

Legitimate interests

We may process information where necessary for our legitimate business interests, provided those interests are not overridden by your data protection rights.

These interests may include:

• operating and improving the Supplier App;
• managing our supplier network;
• maintaining service quality;
• operating performance and motivational systems;
• preventing fraud and misuse;
• protecting our systems and users;
• resolving complaints and disputes.

Legal obligations

We may process and retain information where necessary to comply with accounting, taxation, regulatory, employment, contractor, law enforcement or other legal obligations.

Consent

Where required by law, we will rely on your consent for specific types of processing. Where processing is based on consent, you may withdraw that consent at any time, without affecting processing that occurred before withdrawal.

4. Information About CleanBee Customers

As a supplier, you may receive access to personal information concerning CleanBee customers.

This information is provided solely to enable you to perform and manage the relevant CleanBee service.

You must not:

• use customer information for unrelated personal or commercial purposes;
• disclose it to unauthorised persons;
• retain copies unnecessarily;
• contact customers for purposes unrelated to the relevant CleanBee service.

CleanBee may restrict or terminate access to customer information where misuse is suspected.

5. Motivational Standings

The Supplier App may display motivational standings or rankings to participating suppliers.

Your standing may be calculated using work-related information processed by CleanBee.

Where standings are visible to other suppliers, certain information identifying you or your position within the standings may therefore be shared with those suppliers.

CleanBee does not intend the motivational standings to make decisions producing legal or similarly significant effects about you solely through automated processing.

6. How We Share Information

We do not disclose personal information except where necessary for the purposes described in this Privacy Policy or where required by law.

Information may be shared with the following categories of recipients.

CleanBee customers

Information necessary for managing or performing a booking may be made available to the customer associated with that booking.

Other CleanBee suppliers

Limited information may be visible to other suppliers where required for Supplier App functionality, including motivational standings.

CleanBee companies and personnel

Information may be accessed by authorised CleanBee employees, contractors, affiliates or other personnel who require access to perform their duties.

Service providers

We may use third-party service providers to operate CleanBee systems and the Supplier App, including providers of:

• hosting and infrastructure;
• database services;
• communications;
• email delivery;
• payment processing;
• mapping or calendar functionality;
• application monitoring;
• technical support;
• analytics and security services.

Such providers may process information only as necessary to provide services to CleanBee and subject to applicable contractual and data-protection requirements.

Professional advisers

We may disclose information where necessary to accountants, auditors, insurers, lawyers and other professional advisers.

Authorities and legal requirements

We may disclose information where required by law, court order, regulatory request or other lawful process.

We may also disclose information where reasonably necessary to prevent fraud, protect our rights, investigate unlawful activity, enforce our agreements or protect CleanBee users.

Corporate transactions

Information may be transferred in connection with a merger, acquisition, restructuring, financing, sale of business or assets, or similar corporate transaction, subject to applicable data protection requirements.

7. Third-Party Services

The CleanBee platform uses third-party services to support certain functions.

Depending on the functionality used in the Supplier App, these services may process information on behalf of CleanBee.

Where you interact directly with a third-party service, its own privacy policy may also apply.

CleanBee’s wider technical infrastructure may use service providers for functions including payment processing, maps, calendars, hosting and communications.

8. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including:

• maintaining your Supplier account;
• administering bookings and payments;
• maintaining financial and accounting records;
• resolving disputes;
• preventing fraud;
• complying with legal obligations.

Different categories of information may therefore have different retention periods.

Where information must be retained because of legal, taxation, accounting, dispute-resolution or other regulatory requirements, it may be retained after your Supplier account has been closed.

CleanBee’s database backups containing personal information are deleted in accordance with our backup retention procedures. Under our current general CleanBee privacy practices, database backups containing personal information are deleted after 13 months.

Where you request deletion of your account or personal data, we will delete or anonymise information that we are not legally or legitimately required to retain.

9. Account and Data Deletion

You may request deletion of your Supplier App account and associated personal information by contacting:

Where account deletion functionality is provided directly through the Supplier App or a CleanBee website, you may also use that functionality.

Following a valid deletion request, we will delete or anonymise personal information associated with the account unless we are required or permitted to retain certain information for purposes such as:

• legal compliance;
• taxation or accounting;
• payment records;
• fraud prevention;
• establishment, exercise or defence of legal claims;
• resolving disputes.

Information that must be retained will no longer be used for ordinary Supplier App purposes after account deletion unless necessary for one of these reasons.

10. Data Security

We take reasonable technical, organisational and administrative measures to protect personal information against:

• unauthorised access;
• accidental loss;
• alteration;
• disclosure;
• destruction;
• misuse.

Information transmitted between the Supplier App and CleanBee systems is protected using appropriate encrypted communications.

Access to personal information within CleanBee is restricted according to business need and access permissions.

You are responsible for maintaining the confidentiality of your account credentials and must not allow another person to use your Supplier account.

If you believe that your account has been compromised, please contact CleanBee immediately.

No electronic system can be guaranteed to be completely secure, and we therefore cannot guarantee absolute security of information.

11. International Data Transfers

CleanBee and its service providers may process information in different countries.

Where personal information is transferred outside the European Economic Area or another jurisdiction requiring safeguards for international transfers, CleanBee will use appropriate safeguards as required by applicable data protection law.

12. Your Data Protection Rights

Subject to applicable law, you may have the right to:

• request access to personal information we hold about you;
• request correction of inaccurate or incomplete information;
• request deletion of your personal information;
• request restriction of processing;
• object to certain processing based on legitimate interests;
• request portability of certain information;
• withdraw consent where processing is based on consent;
• lodge a complaint with the relevant data protection supervisory authority.

These rights are subject to legal limitations and exceptions.

13. Children

The Supplier App is intended exclusively for persons who are authorised to provide professional services through CleanBee.

It is not intended for children under 18 years of age.

We do not knowingly permit persons under 18 to create or use Supplier accounts.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect:

• changes to Supplier App functionality;
• changes to our data-processing practices;
• changes to third-party services;
• legal or regulatory requirements.

The latest version will identify its effective date.

Where changes materially affect how we process your personal information, we will provide appropriate notice where required by law.
